What Smartsheet costs beyond the advertised price

Each of these is a figure you can check on the vendor's own page. The arithmetic is shown so you can redo it rather than take our word for it.

  1. Charged on top of a plan$1,500 a year

Dynamic View is charged on top of a plan rather than instead of one: $125 a month, which is $1,500 a year on top of whichever tier you hold.

    Working$125 a month x 12 = $1,500 a year, added to a tier price rather than replacing it.

Computed from the plan table on Smartsheet pricing , read 19 August 2026

  2. Charged on top of a plan$1,200 a year

Data Shuttle is charged on top of a plan rather than instead of one: $100 a month, which is $1,200 a year on top of whichever tier you hold.

    Working$100 a month x 12 = $1,200 a year, added to a tier price rather than replacing it.

Computed from the plan table on Smartsheet pricing , read 19 August 2026

  3. Monthly billing costs more$36 a year

The advertised $9 on Pro is the annual-payment rate. Paying monthly is $12, so the commitment is worth $36 a year per member.

    Working$12 - $9 = $3 a month, x 12 = $36 a year per member.

Computed from the plan table on Smartsheet pricing , read 19 August 2026

Fixed mechanics above add $2,736 a year to the advertised price. Usage-dependent charges are listed but not summed, because a figure that depends on how much you use cannot be added to one that does not.

What Smartsheet actually costs over a year

A monthly price is not the same thing as a monthly contract. These are the plans above resolved both ways, per seat or unit where the plan is charged that way. Where a vendor quotes only a yearly figure it is divided by twelve rather than left out, and the Quoted column says which figure the vendor actually publishes.

Smartsheet annual cost by plan

Businessper member, billed yearlyper month$19$228
Dynamic View add-onper month$125$1,500

Compared on the smallest invoice each vendor will accept, not on the advertised per-seat rate. Where a product has a seat minimum, the figure below is the minimum times the rate, because that is the cheque you would actually write.

Which Smartsheet plan should you buy?

Recommended Smartsheet plan by situation

A small team is migrating processes off spreadsheetsPro$9 per member billed yearly, 1 to 10 members, with unlimited free contributors. Those free contributors are the point.
You have more than ten membersBusiness$19 per member billed yearly, unlimited members, plus proofing and document builder.
You need SSO, governance and resource managementEnterpriseQuote only, and typically a programme-management purchase.
Most participants only view or update rowsPro or Business, and count members carefullyContributors are free. Only licensed members are charged, so the bill can be far lower than headcount suggests.
You want a modern, opinionated task toolConsider Asana or Linear insteadSmartsheet is deliberately spreadsheet-shaped, which some teams find dated.
You are tracking software deliveryDo not buy SmartsheetJira or Linear fit that work properly.

The licensing model is the underrated part

Most work management tools charge for everyone who touches the work. Smartsheet distinguishes members, who create and own sheets and need a licence, from contributors, who can edit rows, comment and respond to update requests for free.

For a programme with six coordinators and two hundred occasional participants, that difference is enormous. Compare it against monday.com or Asana, where a department-wide rollout means a department-wide licence count, and the arithmetic frequently favours Smartsheet despite the higher headline price.

The 10-member cap on Pro

Pro is $9 per member per month billed yearly and limited to ten members. That is a hard ceiling, and crossing it means Business at $19, roughly doubling the per-member cost. Organisations expecting to pass ten owners within the year should model Business from the start.

Why spreadsheet-shaped is a feature

Every migration off Excel fails the same way: the new tool is better, and people keep using Excel anyway. Smartsheet reduces that resistance by keeping rows, columns and formulas as the mental model while adding what spreadsheets lack. It is not the most elegant answer, but it is the one that survives contact with an organisation that has run on spreadsheets for fifteen years.

Where it is the wrong choice

Software teams should use Jira. Small teams wanting something modern and opinionated will be happier on Asana or monday.com. And organisations without formal scheduling requirements are paying for dependency management and resource planning they will never open.
