What Google Workspace costs beyond the advertised price

Each of these is a figure you can check on the vendor's own page. The arithmetic is shown so you can redo it rather than take our word for it.

  1. Monthly billing costs more$16.80 a year

The advertised $7 on Business Starter is the annual-payment rate. Paying monthly is $8.40, so the commitment is worth $16.80 a year per user.

    Working$8.40 - $7 = $1.40 a month, x 12 = $16.80 a year per user.

What Google Workspace actually costs over a year

A monthly price is not the same thing as a monthly contract. These are the plans above resolved both ways, per seat or unit where the plan is charged that way. Where a vendor quotes only a yearly figure it is divided by twelve rather than left out, and the Quoted column says which figure the vendor actually publishes.

The pooled storage trap

Workspace does not give each user a fixed allowance. Storage is pooled: Business Starter contributes 30 GB per user to a shared organisational pool, Standard 2 TB, Plus and Enterprise Plus 5 TB. In practice one person with a video archive can consume what nominally belongs to twenty colleagues. Check total consumption before assuming a tier fits, because the failure mode is everybody’s uploads stopping at once.

The 300-user ceiling

Business Starter, Standard and Plus cannot exceed 300 users. There is no soft landing: crossing that line means an Enterprise negotiation with pricing that is not published. If you expect to pass 250 seats within the subscription term, start that conversation early rather than at renewal.

Where it beats Microsoft, and where it does not

Put four people in one document and Workspace wins convincingly; the model was built for it. Put one analyst in a 200,000-row model with pivot tables and macros and Excel wins just as convincingly. Most organisations have both people, which is why the decision usually turns on which group is larger and louder rather than on a feature matrix.

Buying notes

Prices are per user per month, but the headline figures are the Annual/Fixed-Term Plan: paid monthly, committed for a year. On that plan licences cannot be removed until renewal, and cancelling early leaves the rest of the year payable. Scaling down at any time means the Flexible Plan, which costs 20% more per user. There is no free tier for business use; personal Gmail is not the same product and using it for a company creates real problems with ownership when someone leaves. See our comparison against Microsoft 365 for the fuller trade-off.

Provenance and freshness

What has changed

  1. September 2026

    • Recorded the commitment behind the prices: $7, $14 and $22 are the Annual/Fixed-Term Plan, and the Flexible Plan is $8.40, $16.80 and $26.40, per Google's plan comparison. The profile previously gave the annual prices as though they carried no commitment
    • Corrected the buying note, which said the prices needed no annual prepayment and made Workspace easy to scale down. On the Annual Plan, licences cannot be removed until renewal and early cancellation leaves the remaining balance payable; scaling down at any time is the Flexible Plan
  2. August 2026

    • Per-user pricing and pooled storage allowances verified
    • Added plan picker and verdicts
