Apollo.io pairs a large B2B contact and company database with prospecting filters, email sequencing, a dialler and basic pipeline management. The pitch is that one subscription replaces a separate data provider and sales engagement tool, which is why it is popular with small outbound teams.

Our assessment
Apollo.io is the pragmatic choice for small teams that need both data and sending in one subscription, and the free tier makes it easy to evaluate honestly. Data accuracy is the perennial caveat: coverage is strong in North American technology companies and thins out elsewhere, and job-change staleness is a real cost when you are emailing at volume. The compliance question is yours, not Apollo's — a database making an address available does not establish your lawful basis for contacting it.
What works in Apollo.io
- Data and sequencing in one subscription, which is materially cheaper than buying both
- Free tier is enough to test data coverage in your own segment
- Chrome extension makes ad-hoc prospecting fast
- Enrichment can keep an existing CRM's records current
What doesn't
- Data accuracy varies sharply by region and company size
- Stale titles and job changes are common on large exports
- Credit limits and seat minimums complicate the real cost
- Ease of bulk sending encourages outreach that damages sender reputation
Apollo.io competitors and alternatives
| Alternative | Why you might pick it instead |
|---|---|
| Clay | Better for bespoke enrichment waterfalls across multiple data sources. |
| ZoomInfo | Higher data quality in enterprise segments at a much higher price. |
| Lemlist | Sequencing only, if you already have a data source you trust. |
Test the data in your own segment first
Aggregate accuracy claims are close to meaningless for prospecting tools, because coverage is uneven. The only useful test is your own: pull 50 contacts in the exact industry, company size and country you sell into, then verify them by hand. Coverage that looks excellent for US software companies can be thin for European manufacturing.
What “credits” mean here
Apollo meters email credits, mobile-number credits and export volume separately, and allowances differ by tier. Teams routinely buy a plan on seat price and then hit a credit ceiling mid-month. Work out your monthly contact volume before choosing a tier.
The compliance point, stated once
Apollo makes contact details available. It does not make contacting those people lawful. Under GDPR and similar regimes you need your own lawful basis, a genuine opt-out and accurate sender information. Volume-sending capability plus no compliance thinking is how domains end up burned.
Where it sits against HubSpot
HubSpot is a CRM platform that assumes you already have contacts. Apollo is a data source that also sends. Teams often use Apollo to find and open conversations, then push qualified contacts into HubSpot for the rest of the cycle.
